What is actually going wrong

The firms we build for are not short of work. Work arrives, and some of it quietly sits. A candidate goes out and the chase to the client does not happen. A client who used to call each month goes quiet, and it takes a while to notice. A message waits around three days for a reply that would have taken a few minutes to write.

Hiring another admin covers part of that and adds a salary. This is usually the point where AI gets offered, and the question worth asking is whether the demo has met the mix of systems you actually run.

The install week

Before anything runs, we connect the systems your day already touches: your ATS or CRM, email, phone, WhatsApp, spreadsheets, accounting. We map how work moves between them, and we write down the baseline, which is what the work costs you today. The figures above are the kind of baseline an install week is meant to surface. We have no live installs yet, so treat them as an estimate and not as a result we have produced for someone else.

The brain

The brain is a memory of how one firm runs. It holds what it knows in three states, and it is explicit about which is which.

The unresolved list is the part of week one we would hand you first. It is a written list of the things your own systems say differently. Fourteen of them would not surprise us, though that is an estimate until we look, and it is worth reading whether or not you buy anything after that.

Each firm's brain is sealed. What can travel between firms is a benchmark of what good looks like in the trade, not anyone's data.

The loop

Reads. Proposes. A person approves. Acts. Learns.

The approval step stays. Each action that reaches a client or a system of record waits for someone at your firm to approve it. That makes the system slower than one with no approval step. It also means a bad draft goes to a person at your firm before it goes to a client.

The modules are the arms and legs

The brain holds the context. A module takes one job that keeps being dropped, does the repetitive part of it, and stops at the approval step. Each module is bought on its own at $750 a month, on top of the brain.

Bought without the brain, a module would have no memory of your clients, your process or your last twelve months of decisions. It would be one more automation for someone to supervise, which is the thing you already have too much of. That is why we do not sell them on their own.

Price bands are by staff count: up to 10, 11 to 25, and 26 to 50 people. More than five systems adds a day and $500 to the install, and we say so during scoping rather than after. We do not price per seat, because charging by headcount would mean charging you more for the thing we are supposed to reduce.
